Paying us, cancellations and managing your data

Payment terms

You can pay our very reasonable fees by cash, cheque or bank transfer.

Most bands pay in cash to the engineer on the last day of the session. Please don’t be offended if we ask you to do this, especially if we’re working together for the first time. When we get to know each other better we will invoice you and expect payment in full within 15 days.

For shorter sessions, we don’t normally ask for a deposit – but we reserve the right to ask for one, which will be refundable at our discretion. This will typically be around 10 to 25% of the total cost of the session, including engineer’s fees.

For longer sessions (five days+) we will typically ask for a £100 deposit, which will be refundable at our discretion.

All files, mixes and mastered songs remain under our ownership until payment is made in full.

If we have to cancel:

We know how hard it can be to get everyone in your band in one place, primed and ready to record. So we’ll do our very best to never cancel a session. If we do it will be for an unavoidable reason.

If we have to cancel for non-medical reasons we’ll give you at least a week’s notice, and refund in full any deposit. We’ll offer you new dates at the earliest opportunity, and give you a discount (expect a 20% reduction on studio rates, engineer’s rate reduction at their discretion).

If you have to cancel:

It happens. Someone gets sick, the new songs aren’t quite ready, you realise you all hate the singer or decide to go all jazz fusion.

If you’ve got to do it, we won’t be difficult if you give us enough notice (at least a week). We’ll aim to re-book the dates as soon as you’re ready. If you don’t want to come at all then we’ll typically refund your deposit if you’ve paid one (although we reserve the right not to….)

If you give us less than 48 hours notice, we reserve the right to charge you in full for the days you’ve booked. This doesn’t mean we will, but once you make a booking you agree to pay this fee in the event of you cancelling at this amount of notice.

Protecting your files

We will save your files onto one of our hard drives, and later back them up for long-term storage. There is no charge for this service. Please note that we retain ownership of the files, and they are held at your risk, not ours. There are many things out of our control.

For example there are often bugs in operating systems and software, hardware components that suddenly become defective in hard drive power supplies and IC boards, glitches in the operations of complex computer functions or even acts of god (like a lightning storm) that cause from time to time losses or corruptions in data. Although such losses are extremely infrequent, we accept no liability for the usage or storage of any data or audio files.

Should you wish to have the files at a later date, we reserve the right to charge a modest fee for handing the files over. At this point the ownership of the files transfers to you.

Ideally though, you should consider providing your own storage solution, during and after recording. This is the best way to guarantee the security of your data. We recommend you bring a suitable Apple Mac OSX compatible hard drive to store audio and session files.

We strongly advise that you buy or provide a second hard drive for backing up all important audio files in the event the primary drive(s) in use should fail for any reason. This should be done throughout your studio session.

We advise you to then take your hard drives, DVDs or compact discs with you upon departure from the studio. Please note we won’t release any files until you have paid all fees to the studio and the engineer.
